Key Responsibilities:

  • Employee Onboarding & Offboarding:
    Facilitate onboarding workflows, including welcome communications, benefits enrollment, signature templates, and coordination with operations for badging logistics.

  • Payroll Processing & Administration:
    Support bi-weekly payroll cycles using Gusto. Follow established SOPs, collaborate with managers on timesheet deadlines, and assist in bonus and holiday pay entries.

  • Process Improvement & SOP Adherence:
    Help maintain and refine HR procedures. Evaluate opportunities to streamline systems and improve operational efficiency using available tools (e.g., calendar systems, ChatGPT, Gusto).

  • Employee Relations Support:
    Partner with HR leadership on occasional employee relations matters and demonstrate basic knowledge (or willingness to learn) regarding ADA, FMLA, and compliance protocols.

  • Resource Utilization:
    Proactively leverage tools and templates (email signatures, calendars, checklists) to optimize task execution and ensure nothing falls through the cracks.

  • Cross-functional Coordination:
    Communicate effectively with operations and store leadership for escalations or agenda-based store visits. Ensure HR materials (flyers, updates) are posted and maintained.

  • Store Visit Oversight (Minimal Travel):
    Occasionally accompany HR leadership on purposeful visits to Illinois-based dispensaries—primarily during onboarding or policy rollout periods. Estimated frequency: quarterly to semi-annually.

  • Weekend Coverage Expectation:

While the role is Monday–Friday, 9:00 a.m. – 5:00 p.m., the HR Coordinator must be willing to respond to rare, time-sensitive weekend emails if operational issues arise.

  • Tech-Enabled Communicator:
    Comfortable using HRIS tools, calendars, templates, and AI tools like ChatGPT to enhance productivity and consistency.

  • Chicago-Based Candidate:
    Must reside in the Chicagoland area and be available for occasional in-person collaboration or store visits when needed.

  • Work Ethic & Reliability:
    A dependable team player who takes ownership of tasks and follows through—even beyond the traditional scope when needed.
